Configure the boundaries before the link goes live.

Availability is an operational contract: who hosts, which times are valid, what the visitor must answer and what happens if they need to move the call.

01 · Booking page

Define the call before sharing the link

Set the page name, description, duration, address and a supported meeting method: phone, a custom meeting link or Google Meet for an approved connected account.

02 · Availability

Offer times inside the rules you set

Use weekly hours, time off, minimum notice, maximum advance, buffers, daily limits and optional event-only hours. Team pools can use supported fixed-host or round-robin routing.

03 · Time zones

Store the instant and show useful local context

CoachOS evaluates the configured schedule and returns UTC booking instants for the visitor experience, retaining the visitor time zone on the confirmed booking.

04 · Questions

Attach an intake form to the booking

Choose a published CoachOS form so contact details and configured answers can create or match the lead and remain linked to the booking submission.

05 · Management

Let the visitor reschedule or cancel safely

Confirmation emails use unguessable management links. A replacement time is checked against current availability before the booking is moved.

06 · Context

Keep the call beside the lead and next action

The lead record can retain the booking, form, page, referrer, available campaign context, visitor answers and timeline events instead of starting again in a separate CRM.

Email, SMS and calendar status

Implemented is not the same as generally available.

The native booking and email paths are live. External calendar and transactional SMS gates are kept visible so the booking promise does not depend on a logo wall.

CoachOS booking and calendar

Live

Public availability, confirmation, the internal calendar record, lead timeline, reschedule and cancellation are supported without requiring a general external scheduling platform.

A raced-away slot is rejected and must be selected again; no system can promise that every external dependency is always available.

Booking email

Live

Supported confirmation, reminder, reschedule and cancellation emails include the local-time description, management path and calendar details when available.

CoachOS records a successful provider send, but cannot guarantee delivery to every inbox or that the recipient reads it.

Google Calendar and Meet

In provider review

Free/busy checks, booking-event create/update/delete and Meet-link generation are implemented for connected accounts.

Google sensitive-scope approval and a final production acceptance run are still required before general access can be claimed. Zoom and Outlook are planned, not available now.

Transactional booking SMS

Carrier approved · acceptance pending

Twilio toll-free verification is approved. The implemented recipe is one optional final reminder around one hour before a booking, with consent, caps, quiet hours, opt-out and telemetry.

General availability still waits on one controlled opted-in live-handset send and signed status-callback verification. This is not campaign, broadcast or coach-owned SMS.

Native calendar result

The coach sees the confirmed call in CoachOS.

Open the booked call for visitor details, use the saved phone or supported meeting link, and manage reschedule or cancellation from the same record.

CoachOS or Calendly?

A narrow comparison around the booking job.

This is not a claim that CoachOS has every Calendly feature. It is a decision about whether the coaching lead and client journey should stay attached to the scheduled call.

Personal trainer booking-system questions

What can I configure on a CoachOS booking page?

You can configure the page name, description, length, supported meeting method, weekly availability, time off, notice, booking horizon, buffers, daily limit, capacity, host routing, intake form, success page and whether the page is public.

Does the visitor see times in their time zone?

The public availability route accepts the visitor time-zone context, returns precise UTC instants and retains the visitor time zone on the booking. The visitor should still check the time-zone label before confirming, especially around travel or daylight-saving changes.

How does CoachOS reduce double bookings?

CoachOS applies weekly hours, time off, notice, buffers, capacity and current confirmed bookings, then rechecks the selected slot when it is booked or moved. Google free/busy can add external-calendar conflict context for an approved connected account; it is not generally available while provider review remains open.

Which meeting methods are available?

Phone calls and a supported custom meeting link can be configured today. Google Meet generation is implemented for connected accounts but general access remains subject to Google’s sensitive-scope approval. Zoom and Outlook are planned rather than available-now integrations.

Which booking emails are included?

CoachOS supports confirmation, approximately 24-hour and one-hour reminder passes, reschedule and cancellation emails. Sends are failure-isolated so a provider problem does not erase a confirmed booking; delivery to every inbox cannot be guaranteed.

Does CoachOS send booking text reminders?

The implemented transactional SMS recipe is an optional final reminder around one hour before the booking. It requires the coach to enable the recipe and the visitor to opt in, with supported phone handling, caps, quiet hours and opt-out. Twilio carrier approval is complete; general availability still waits on the controlled live-handset and signed-callback acceptance run.

Does the booking page collect payment?

No. The current public booking page schedules a supported call and records the intake. Supported Stripe offers and payments happen later in the CoachOS lead and client journey.

Can visitors reschedule or cancel?

Yes. The confirmation flow provides an unguessable management link. Rescheduling checks live availability and records the old-to-new booking chain; cancellation and reschedule events are also added to the lead history.

Is CoachOS a full Calendly replacement?

CoachOS can replace a focused coaching-business booking link when the form, lead, call, offer and client journey should stay connected. Calendly remains the broader choice for general scheduling, multi-calendar and multi-video-provider support, routing, payments at booking, wide integrations or enterprise administration.
